Edmonton Kids Birthday Party Checklist: A 2-Week Countdown

A birthday party feels easier when every decision has a deadline. This two-week checklist helps Edmonton parents organize the venue, guest count, activity, food and pickup details without trying to remember everything on party day.

Use it as a practical starting point, then adjust the timing to your venue and chosen activity.

Two weeks before: lock in the essentials

  • Confirm the date and venue. Make sure the space permits your planned activity and gives you enough time for setup and cleanup.

  • Choose the activity. Decide whether you want a hosted event, a DIY rental kit or a quieter themed activity.

  • Estimate the guest count. This affects the space, food, teams and total cost.

  • Send invitations. Include the start time, pickup time, venue address, indoor footwear guidance and a clear RSVP deadline.

If you are still comparing options, start with our guide to the best kids birthday party ideas in Edmonton.

Ten days before: collect useful RSVP details

Do more than count yes and no replies. Ask for information that helps you run a smoother party:

  • the child’s name and age;

  • the parent or guardian’s contact number;

  • allergy or accessibility information relevant to the party;

  • whether the adult is staying or returning for pickup; and

  • any late arrival or early departure.

Share relevant information with the venue or activity provider before the event. Keep personal details limited to what you actually need for planning.

One week before: confirm numbers and costs

Update the provider with your expected player count and venue details. Ask what is included, what you need to supply and whether any package detail changes with group size.

The standard hosted Edmonton Foam Wars Nerf party is $300 for 90 minutes and includes up to 25 players. Additional players for the standard package are $10 each. Themed upgrades and rental packages can use different pricing or terms, so confirm the exact package rather than assuming the standard rate applies.

Five days before: plan the room

Decide where coats, gifts, food and drinks will go. Keep these areas separate from active play. Walk through the venue and identify breakable items, stairs, sharp corners, low fixtures and exits.

If the party is indoors, use our indoor Nerf birthday party planning guide to check the space, timing and guest flow.

Three days before: send one short reminder

A simple reminder prevents many last-minute questions. Include:

  • the venue address and entrance;

  • arrival and pickup times;

  • what children should wear or bring;

  • a contact number for changes; and

  • a request to report new allergy or accessibility information.

Avoid sending a long message. Parents need the few details that help them arrive prepared.

The day before: prepare a small party kit

Put the items you control in one place: guest list, phone charger, tape, marker, garbage bags, napkins, candles, serving tools and any venue paperwork. Check food orders and confirm the cake or dessert.

Review the schedule with any adults helping you. Decide who welcomes guests, manages food, takes photos and watches the exit during pickup.

Party day: protect the activity time

Arrive early enough for the access time your venue allows. Keep arrival separate from gameplay so children can change footwear, put away belongings and hear the rules.

The paid 90-minute hosted gameplay is the activity block, not the entire suggested party schedule. Plan food, cake and cleanup outside that block unless your confirmed booking says otherwise.

Before guests leave: make pickup clear

Move children and belongings to a defined pickup area. Check each child against your guest list and make sure personal items go home with the right family. Leave enough time to clean the venue within your booking.
